HCMS Extra-Curricular Eligibility Policy
3.10 Academic Requirements- All extracurricular sponsors/coaches will provide school administration (athletic director) with an updated roster prior to the start of any season (practice and/or any competition). It is the sole responsibility of the sponsor/coach to keep rosters maintained and updated in order to provide the most accurate count of students participating in their respective extracurricular group.
The assistant principal will enter the rosters into the HCMS computer system in order to run the grade reports. On the first day of every week the assistant principal will “run grades” for all extracurricular organizations to determine student participation status. If a student is failing one (1) or more classes the student is ineligible to participate in ANY activities (practice, games, tournaments, competitions, etc.) until grades are “run” the following week. The assistant principal (or their designee in his/her absence) will make available to the sponsors/coaches a list of all students who are determined ineligible. Additionally, the assistant principal will notify those students deemed ineligible by the grade report. The following week’s “run of grades” will determine whether the student may participate again in extracurricular activities.
It is at the principal’s sole discretion (or their designee in his/her absence) to override a student’s ineligibility and allow a student to participate in extracurricular activities prior to the next week’s grade report. Such an override would occur if it was determined that there were outstanding circumstances that caused a student to be determined ineligible (primarily if grades by a teacher were yet to be entered in a timely manner). HCMS teachers have the responsibility to keep grades current AND entered into the computer in a timely manner.
Eligibility checks take place each Monday morning (unless we are not in school and it will be run on Tuesday).
Some things to consider in terms of what teachers are expected from this policy:
1.) Admin run eligibility checks first thing on Monday mornings. Teachers should have gradebooks updated. We need to be fair to students.
2.) Per SBDM policy, teachers should be entering at least one (1) grade per week.
3.) It’s wise to remind student-athletes in your class about eligibility checks and consequences.
(1 "F"- Ineligible for the week- no practices, games, meetings, etc.)
(Any student with a "D" will have a warning letter sent home)
